Situations Vacant: Administration Support
Location: 6 Main North Road, Otorohanga & 100 Roche Street, Te Awamutu
Position: Administration Support
Hours: Monday - Friday 7.30am - 5pm
Join our dynamic team at Pratts, as an Administration Support member. This role involves working collaboratively with the Otorohanga and Te Awamutu branches on a rotational basis. You will report directly to the Group Administrator and Group Manager while liaising internally with trade and administration staff, and externally with customers, sub-contractors, and suppliers.
Key Responsibilities:
Showroom Consultations:
Assist visitors in the showroom and provide product specifications to meet their needs.
Ensure all customer interactions are professional and informative.
Maintain and complete showroom consultation forms.
· General Duties:
Manage telephone inquiries, create job cards, schedule jobs, and order parts.
Keep product brochures current and maintain showroom stock levels.
Ensure the showroom is always presented at a retail-ready level.
· Job Processing:
Create and maintain job cards, ensuring accurate tracking and billing.
Liaise with technicians and admin staff to schedule jobs and manage parts inventory.
Make daily follow-up calls to customers and monitor job status for accurate invoicing.
·Financial Duties:
Process and bank cash receipts, manage petty cash, and handle customer payments.
Support the admin team with debtor invoicing, creditor processing, and reconciliation.
Assist with maintaining vehicle databases and ensuring all services are up-to-date.
Requirements:
Strong communication and organisational skills.
Ability to work in a team and independently.
Proficiency in handling financial transactions and job processing systems.
